About the Role

We're looking for an Operations Intern who thrives on keeping things running smoothly. You'll be the backbone that ensures our daily operations, processes, and workflows are seamless. From coordinating between teams to managing schedules, tracking deliverables, and solving operational challenges, you'll be at the center of it all.

What You'll Do

  • Coordinate daily operations - Manage schedules, meetings, and ensure all teams are aligned and on track
  • Track deliverables and deadlines - Keep an eye on project timelines, follow up with team members, and ensure nothing falls through the cracks
  • Process documentation - Create and maintain SOPs (Standard Operating Procedures), checklists, and workflow documentation
  • Student operations support - Help manage student enrollments, onboarding processes, and coordinate with instructors
  • Data management - Maintain databases, track metrics, and generate reports for leadership review
  • Problem-solving - Identify operational bottlenecks and work with teams to implement solutions
  • Be the glue - Bridge communication between different teams and ensure everyone has what they need to succeed

What We'll Teach You

We don't expect you to know everything. We'll train you in:

  • Project management tools (Notion, Asana, ClickUp) and workflow optimization
  • Process mapping, documentation best practices, and operational efficiency
  • Data analysis, reporting, and tracking key operational metrics
  • Cross-functional team coordination and stakeholder management

What we can't teach is attention to detail, organization skills, and proactive thinking. Those need to come naturally.

STEM Link is running a 3-day intensive bootcamp for 50 students. You're the Operations Intern managing the day-to-day logistics. On Day 2 morning, you walk into this situation:

  • Venue Issue: The training room AC stopped working, and it's 32°C outside
  • Tech Problem: 15 students can't access the online platform with course materials
  • Catering Mess: Lunch is delayed by 2 hours, students are hungry and frustrated
  • Instructor Emergency: The afternoon session instructor is stuck in traffic, arriving 90 minutes late
  • Communication Gap: Parents are calling asking about pickup times, but there's no clear schedule shared

You have 30 minutes before the session starts. Multiple people are asking you what to do. The team is looking at you for answers.

Your Task

Create an Operations Action Plan showing exactly how you'd handle this situation.

Your plan should include:

  • Priority Order: Which issues do you tackle first, and why?
  • Immediate Actions: Step-by-step solutions for each problem (be specific!)
  • Communication Plan: Who needs to know what, and how will you inform them?
  • Preventive Measures: What systems/processes would you put in place to prevent this chaos from happening again?

  • Your prioritized action plan (what you'd do in the first 30 minutes)
  • Specific solutions for each of the 5 problems
  • A communication template (e.g., message to students, parents, or team)
  • Process improvements to prevent future operational breakdowns
